    The Save & Cancel functionality allows users to finalize or discard changes made to their profile with clarity and control. This section outlines what happens when you interact with either action and ensures you do not unintentionally lose or overwrite your data.

    Save Changes

    Selecting “Save Changes” will:

    • Store all updated profile fields to your secure DecenTrialz account
    • Update the information used for trial matching, including your health profile and location
    • Record the latest timestamp of the update in your account history
    • Immediately reflect changes in the participant dashboard, including the trial search filters and results based on your new profile inputs

    Before saving, we recommend reviewing each section of the form (Basic Information, Location, Health Profile, etc.) to confirm accuracy.

    Once saved

    • Your data is securely stored and encrypted in accordance with HIPAA and applicable data protection regulations
    • Trial matches may refresh if relevant eligibility criteria have changed

    Note: Changes are only applied after successful saving. A confirmation message will appear once updates are complete.

    Cancel & Discard

    Selecting “Cancel” or navigating away from the profile without saving will:

    • Discard all unsaved changes made during that session
    • Revert the profile to its previously saved state
    • Trigger a confirmation prompt to prevent accidental data loss

    Important: If you accidentally close the window or experience an interruption (e.g., session timeout), unsaved data may be lost. It is recommended to save periodically if making multiple edits.

    Security Measures

    For your protection:

    • All profile modifications are logged in your account activity history
    • Edits to sensitive fields (such as contact or health information) may trigger email confirmations or platform alerts
    • Only authenticated users with an active session can make and save profile changes
  • Authorized Representative (Optional)

    In some situations, individuals may wish to authorize another person to assist with their clinical trial communications, application review, or decision-making. The Authorized Representative section allows you to securely designate a trusted individual who may act on your behalf during the pre-screening or referral process, as permitted by applicable laws and platform guidelines.

    This is optional. If you choose to skip this section, only you will be contacted and given access to your account.

    Who Can Be an Authorized Representative

    Your authorized representative may be a:

    • Legal guardian
    • Caregiver
    • Family member
    • Healthcare proxy
    • Trusted friend or advocate

    Before designating someone, ensure that the individual understands your clinical interests and is comfortable acting in a supportive or communication-based role, if contacted.

    Information You’ll Need to Provide

    To ensure secure and compliant handling of your data, the following details are required for your designated representative:

    • Full Name
    • Relationship to You (e.g., daughter, son, caregiver, legal guardian)
    • Gender
    • Date of Birth
    • Primary Phone Number
    • Alternate Phone Number (optional)
    • Email Address

    Providing accurate information is critical to ensuring the right person is contacted if needed.

    When the Representative May Be Contacted

    Your authorized representative may be contacted:

    • If you are unreachable or unable to respond during the trial referral process
    • If you have granted permission for them to receive trial-related updates
    • In compliance with legal requirements (such as guardianship for minors or individuals with diminished capacity)

    You can update or remove your authorized representative at any time through your profile settings.

    Key Note: Designating a representative does not transfer your rights as a participant. All decisions regarding trial participation remain voluntary and must be made with clear, informed consent, whether directly by you or via a legally authorized proxy where applicable.

  • Health Profile

    The Health Profile section allows you to provide essential medical and wellness-related information that supports accurate clinical trial matching. This information is not shared publicly and is only used by authorized research professionals to assess your potential eligibility for relevant studies. Filling out this section completely enhances your chances of being matched to suitable trials.

    1. Physical Disability Status

    Indicate whether you live with a physical disability. This includes any long-term mobility limitations, sensory impairments, or chronic conditions that affect your daily activities.

    • If yes, you will be prompted to specify the type of disability in the next field.
    • If not, you may proceed to the next section.

    2. Disability Type (if applicable)

    If you indicated the presence of a disability, please describe the nature of your condition using available options (e.g., mobility impairment, visual impairment, hearing impairment, or other physical conditions). This helps ensure respectful and accessible trial consideration.

    3. Trial Participation Intent

    Select your current intent regarding clinical trials. This helps the platform prioritize recommendations and outreach. Common options include:

    • Actively looking for a trial
    • Open to exploring opportunities
    • Just browsing or learning
    • Previously participated, interested again

    4. Conditions of Interest

    List any medical conditions you are living with or interested in exploring trials for. This can include diagnosed conditions (e.g., Type 2 diabetes, asthma) or areas of concern you wish to monitor.

    5. Medications

    Mention any medications you are currently taking, including prescription drugs, over-the-counter treatments, or supplements. This helps determine trial compatibility, especially for drug-interaction-sensitive studies.

    6. Allergies

    Specify any known allergies, especially to medications or substances used in clinical settings (e.g., penicillin, latex). This ensures your safety in trial screening.

    7. Prior Treatments

    Indicate any significant past treatments relevant to your medical condition(s), such as surgeries, therapies, or prior trial involvement. This historical context is valuable for understanding your eligibility and health status.

    8. Trial Matching Radius

    Define the geographic range (in miles or kilometers) you are willing to travel for a clinical trial. This supports filtering studies that are realistically accessible to you. If you are open to remote or hybrid participation, that may also be indicated here.

  • Location

    This section allows you to enter and update your current place of residence. Accurate location data is essential for matching you with clinical trials in your area and determining eligibility based on trial-specific geographic criteria, such as distance to study sites or regional regulatory boundaries.

    Providing precise and up-to-date location details helps the platform:

    • Identify trials that are physically accessible to you
    • Calculate your travel radius and site proximity
    • Display site contact availability based on your region
    • Offer region-specific trial listings, where applicable

    All location fields are required unless otherwise noted.

    1. City, State, Country

    This section captures your general geographic location and helps us filter trials accordingly.

    • City: Enter the full name of the city or town where you currently reside. Avoid abbreviations or local nicknames.
    • State: Select the appropriate state or province from the dropdown list. This ensures trials listed by U.S. state or Indian state can be matched correctly.
    • Country: Choose your country of residence from the provided dropdown menu. The platform supports trial listings across multiple countries, but matches are prioritized for your specified location.

    Note: Do not enter a PO Box or non-residential address. Use your actual place of residence for more accurate trial matching.

    2. Pincode

    Also referred to as a ZIP/Postal Code (Pincode if outside the United States), this field allows the platform to perform exact-distance calculations between your residence and the nearest available research sites.

    • Ensure the Zipcode you enter corresponds to your current physical address.
    • If your Zipcode recently changed due to relocation, please update this field immediately to receive relevant match notifications.

    3. Full Address

    Your complete address may be used by the research site only if you proceed to referral and provide consent to share this information. Otherwise, it is stored securely and not disclosed.

    • Include your building name or number, street name, locality, and any other identifying details.
    • This information will not be shown to third parties or sponsors unless you opt into referral communication.
    • Having a complete address helps some trials calculate home-visit eligibility or determine reimbursement eligibility for travel.

    Privacy & Security Notice

    Your location data is stored securely and encrypted in accordance with HIPAA and other applicable regional privacy laws. You retain full control over when and how this information is shared. Location data is never made public or disclosed without your consent.

    Key Note: Keeping your location details accurate is critical. Trials often have limited enrollment windows and may require participants to be within a defined travel radius. Incorrect or outdated location information may lead to missed opportunities or delays in the referral process.

  • Basic Information

    This section outlines how to update or modify the essential personal details stored in your DecenTrialz participant profile. These fields are required for matching you to clinical trials that align with eligibility criteria, regulatory standards, and communication protocols. Accurate information in this section is critical to ensuring appropriate trial opportunities are identified and shared with you.

    1. First Name and Last Name

    You are required to enter your full legal name as it appears on your government-issued identification. This information may be used by research sites during verification procedures and is necessary to complete formal trial enrollment steps if you proceed to a referral stage.

    Important: Do not enter nicknames, abbreviations, or pseudonyms in this section. Doing so may result in mismatches or communication delays.

    2. Gender

    Many clinical trials are designed with gender-specific inclusion or exclusion criteria, particularly in studies involving hormonal, reproductive, or gender-influenced conditions. For this reason, DecenTrialz requests that you indicate your gender identity accurately. The following options are supported within the platform:

    • Male
    • Female
    • Transgender
    • Non-binary

    Your selected gender will only be used for the purposes of trial matching and will never be shared with any research site or third party without your explicit consent.

    Key Note: This field may influence which studies are shown to you. For example, certain trials may include participants of a particular gender as part of the scientific protocol approved by ethics boards.

    3. Date of Birth

    You must provide your full date of birth in the format (MM/DD/YYYY). This information is essential for:

    • Assessing age eligibility for clinical trials, many of which have defined age ranges (e.g., 18–65 years).
    • Ensuring regulatory compliance, including age-of-majority requirements for informed consent.
    • Enabling personalized recommendations based on age-specific risk factors or study goals.

    Key Note: Minors (under age 18) are not permitted to create a profile independently. If the platform supports pediatric trials, a parent or legal guardian must complete the account setup as the authorized representative.

    4. Phone Numbers

    The platform supports two types of phone number entries:

    • Primary Phone Number (Required): This will be the main point of contact for all verbal communications, SMS alerts, or follow-up calls from our support team or research site coordinators (if referred).
    • Alternate Phone Number (Optional): This serves as a backup in the event that the primary number is unreachable.

    Both numbers must include the correct area or country code. International numbers are accepted, but you may experience varied response times depending on your local telecom infrastructure.

    • Tip: Keep your contact information updated to ensure you do not miss time-sensitive updates about pre-screening steps, referral invitations, or consent timelines.

    5. Email Address

    This is the primary channel through which DecenTrialz will send you:

    • Trial match notifications
    • Account-related alerts
    • Pre-screening status updates
    • Communication logs and reminders

    You must provide a valid and frequently checked email address. A verification required during registration, and your account setup will remain incomplete until confirmed.

    Security Note: DecenTrialz does not share your email address with third parties without your written permission. Emails are stored in compliance with HIPAA, ICH-GCP, and applicable data protection laws (e.g., CCPA, GDPR).

    Key Note: All fields within the Basic Information section are mandatory except for the alternate phone number. The accuracy and completeness of this data directly affect the quality and relevance of trial matches. Participants are encouraged to review and update this section regularly, especially after a change in contact details or legal name status.

  • Profile Picture

    The DecenTrialz platform allows participants to optionally upload a profile picture as part of their personal profile. While not required for trial matching or participation, a profile image can support personalization and facilitate smoother communication with support teams or authorized representatives, where applicable.

    Uploading or Changing Your Profile Picture

    To upload or update your profile picture, follow the steps below:

    1. Navigate to the Edit Profile section within your account dashboard.
    2. Select the Upload Photo button located near the photo.
    3. Choose a suitable image from your device using the file selection window.
    4. Once selected, the image will appear as a preview. To confirm the change, click Save Changes at the bottom of the profile page.

    You may update your profile picture at any time by repeating this process. The new image will replace the existing one once saved.

    Removing a Profile Picture

    If you no longer wish to display a profile image, you may remove it by:

    1. Visiting the Edit Profile section.
    2. Clicking on the Remove Photo option beside the current image.
    3. Confirming the removal when prompted.

    Upon removal, the system will revert your profile picture to the default placeholder avatar. This action does not affect your account status or trial eligibility.

    File Format and Technical Requirements

    To ensure a successful upload, please adhere to the following guidelines:

    • Accepted file formats: JPG, JPEG, or PNG
    • Maximum file size: 5 megabytes (MB)
    • Minimum image resolution: 300 x 300 pixels
    • Recommended aspect ratio: 1:1 (square)

    If you use assistive technology or require communication assistance, consider using a clear, high-contrast image that helps support recognition by authorized representatives or support personnel.

    Images that do not meet these criteria may fail to upload or display incorrectly. For best results, choose a clear, front-facing photo with a neutral background.

    Privacy and Access

    Your profile picture is private by default and is not displayed publicly on the platform. It is accessible only to:

    • You, as the account holder
    • DecenTrialz support personnel (if engaged for assistance)
    • Authorized representatives (if such access is explicitly granted by you)

    Research sites, sponsors, or any other external parties cannot view your profile photo unless you grant consent as part of a documented referral process.

    Important Note:

    Uploading a profile picture is entirely optional. It does not impact your ability to search for trials, complete the pre-screener, or be referred to a research site. Participants are encouraged to make this choice based on their comfort and communication preferences.

  • Exporting Your Data

    You may request a copy of your personal information stored on the platform. This supports your right to transparency and control over your own data.

    How to request data export

    1. Email support@decentrialz.com with the subject line: Request for Data Export
    2. Include:
      • Your registered contact information
      • What data you would like exported (e.g., screening history, matched trials)

    Once your identity is verified, we will provide you with a secure, downloadable file of your data in a readable format (e.g., PDF or CSV) within 5–7 business days.

    Key Note:
    Data export includes only the information stored in your account profile and screening submissions. It does not include data from research sites or external trial partners.

  • Data Deletion Requests

    Participants and registered users have the right to request deletion of their personal data from the DecenTrialz platform. This includes contact information, pre-screening responses, and any associated profile details.

    How to request data deletion

    1. Send an email to support@decentrialz.com with the subject line: Request for Data Deletion
    2. Include the following in your message:
      • Your registered phone number and email address
      • Reason for deletion (optional)
      • Confirmation that you understand the consequences (e.g., loss of trial progress or referral history)

    Once your request is verified, we will begin processing the deletion. You will receive a confirmation email when the process is complete.

    Key Note:
    Data deletion is permanent and cannot be reversed. Please note that for regulatory compliance and research integrity, some anonymized or de-identified data may be retained in historical audit logs or as part of completed research analyses, as permitted by law.

  • Response Timelines

    DecenTrialz is committed to timely technical support. Here are our standard response windows:
